From Spreadsheets to a Connected Company: How HSC Uses AI to Link Its Systems and Retain Its Knowledge

Presentation Synopsis:

Like many specialist contractors, HSC ran its projects on dozens of separate spreadsheets, and much of its know-how lived in people's heads and scattered folders. In this session, Shane shares two parts of HSC's AI journey. First, how HSC used AI to set up its own systems quickly and link them, so a plan made at project level flows through weekly manpower planning and the daily deployment meeting to the site, and actual progress flows back from daily reports and CCTV monitoring to the planners. Second, the HSC AI Playbook: an internal AI knowledge assistant built on the company's own documents, which keeps knowledge in the company and cuts the time staff need to find the right answer.

Key takeaways:

  • Using AI to build working internal systems in weeks, without a large IT team
  • Linking planning to execution: one chain from project and sub-plan, to gang planning, to daily reports and actual site progress
  • The AI Playbook: turning internal documents into an AI knowledge assistant so company knowledge is retained and answers come faster
  • Keeping company knowledge secure: access control and keeping sensitive data in-house
  • Making AI outputs reliable: answers traced to source documents, human checkpoints, and knowing where AI should not decide
  • Lessons learnt in preparing data and processes before AI can add value
